Preferred Admin Time (PFA) System
I invented an admin time system for tournaments, I call it PFA.
Everyone is free to use it since I hope it catches on.
How it works:
1. Tournament participants (whether teams or players) sign up with a preferred admin time. They select from the list of admin times which is described below the "How it works" section.
2. Both parties ("parties" can mean either teams or players) have until 24:59 GMT Thursday to schedule matches as they "normally" would. That means that either party can suggest any time and both parties are free to agree to any time. Teams cannot schedule games after their own PFA and also cannot schedule games after the Arbitrary Admin Time (AAT) which is determined by the PFA of each party.
3. After 1 GMT Friday if a time has not been agreed upon by both parties then the PFA system will take effect resulting in an Arbitrary Admin Time (AAT).
4. Both parties must show up at the Arbitrary Admin Time (AAT). Any party that does not show up at the AAT receives an admin loss, up to and including both parties.
Preferred admin times (PFA's):
24 GMT
18 GMT
12 GMT
6 GMT
If two teams have the same PFA then that will be the admin time.
In other cases:
Arbitrary Admin Time (AAT):
PFA's: 24 GMT & 18 GMT → 21 GMT
PFA's: 24 GMT & 12 GMT → 18 GMT
PFA's: 24 GMT & 6 GMT → 15 GMT
PFA's: 18 GMT & 12 GMT → 15 GMT
PFA's: 18 GMT & 6 GMT → 12 GMT
PFA's: 12 GMT & 6 GMT → 9 GMT
Scheduling rules:
1. Both parties ("parties" can mean either teams or players) have until 24:59 GMT Thursday to schedule matches as they "normally" would. During "normal" scheduling, either party can suggest any time and both parties are free to agree to any time.
2. After 1 GMT Friday if a time has not been agreed upon by both parties then the PFA system will take effect resulting in an Arbitrary Admin Time (AAT).
3. Teams cannot schedule games after their own PFA and also cannot schedule games after the Arbitrary Admin Time (AAT) which is determined by the PFA of each party.
Alternate PFA lists:
Depending on the needs of a tournament and the geography of the participants you can select alternate PFA's. Each PFA system should have 4 times with 6 hours in between each. Any fewer than 4 times is unfair and any more than 4 might cause confusion, although more than 4 would be more accurate and probably more fair. If more than 4 times are used then it should be either: 6 x 4 hour intervals, 8 x 3 hour intervals, 12 x 2 hour intervals
To calculate AAT's on an alternate PFA system just add up both PFA's and divide by 2. Example: 4 GMT + 2 GMT = 6; 6 GMT / 2 GMT = 3 GMT
You could also abandon pre-set PFA's and let teams/players specify their own. From there you would just have to calculate the AAT. But the advantage of having pre-set PFA's is that it's easier to arrange teams/players into groups or when seeding two closely ranked players in a bracket.
Examples of Alternate time lists:
22 GMT
16 GMT
10 GMT
4 GMT
20 GMT
14 GMT
8 GMT
