For many this is going to seem like i'm stating the obvious but reading some of the scheduling threads and talking to some clan operators it appears not everyone is as experienced or as organised as others which can lead to poor scheduling, late scheduling, admin times being set, full teams not showing up and ultimately admin win requests so i thought i'd share my methods of scheduling for previous WCLs and im sure other clan operators who are well organised might share their methods also.
So in WCL 1 i done the following.
1) Sunday of each week i'd create a new topic in my clan/teams forum with title "Week 1 vs L_Clan" or whatever the week number or clan was.
2) I would ask for each member of StorM to outline the times they were available the following weekend for sure, they would give the times in their timezone and i'd translate into universal GMT at the end.
* This would be done, with all active roster members replying by Tuesday latest, leaving me the rest of the week to schedule
3) I would take the MSN of the clan operator of the opposing clan (in this example, legion) which is to be found in the sign up thread and i would not only post in the forum but also talk to them in real time on MSN to find a common time.
This entire process, if the other clans operator is as efficient would mean by Thursday we would have a common time and confirm on the forum.
For contingency purposes i had every StorM (as i do now also) post their mobile phone number + the international code and when talking to them on MSN, to confirm its working i would call/hang up, costing me nothing. This was to ensure i had a way of contacting them incase someone didnt show up, got times wrong or w/e and in several cases i had to call Rami (who was out bowling with friends) or get Fletcher out of bed at 2pm on a Sunday after a night boozing and playing poker online.
Every active player on a clans roster has a responsbility to post their times within a day or two of the Sunday clan operator post outlining their free times for the next week/weekend. This is important and i think often players are lazy and fail to tell their times until Thurs/Fri putting pressure on their clan operator and possibly leading to an admin time set that doesnt agree with their clan, leading to an admin win request or a 2nd rate team having to play.
Now i do realise that clans have problems where many players work on Sat/Sun or w/e, but surely that is the same set times per week, every week so you know each week what time frames you have to play around with. If anyone has any questions or concerns of how to overcome problems they have found please do ask and ill try to help, this might seem like simple stuff but its the bread and butter of clan leagues and tournaments as regards scheduling.
